Resource Scheduler / Service Co-ordinator / Operations Administrator

My client is a well-established and expanding company that specialise in the design and manufacture of mechanical systems to a variety of industries. The company also have a number of service engineers that install, repair and commission their products across the UK.  Due to their increased workload and expansion plans they are looking to recruit a competent Resource Scheduler on a permanent basis Monday to Friday working 730am-430pm on a 45 hour working week.  




  • Previous experience in a construction, engineering, manufacturing or service engineering environment
  • Must have previous experience in Scheduling or Planning whether this be people, resources, tools, materials or logistics
  • Must have the ability to collate and comprehend technical and product information
  • Excellent communication skills

The successful candidate will be responsible for planning, scheduling, allocation and communication of resources to effectively and efficiently complete customer orders for the company.


Key Duties and Responsibilities


Resource Management & Scheduling


 Manage the internal and external resources to ensure they are schedule correctly in the most efficient way possible whilst liaising with the service and project teams.

• Schedule resources for reactive call outs where required. • Arrange additional resources (i.e .sub-contracted services, labour, tools, equipment/ machinery, or overnight accommodation) and communicate to the relevant parties.

 • Ensure all bookings confirmed with customers and other affected parties with the correct documentation provided.

 • Ensure relevant information is available for the engineers for the jobs with the correct records assigned and any information is communicated with the engineers.

 • Ensure all certification and testing of the equipment is in date and maintain system records for this.


Workshop Repairs


• Raise repair jobs for repairs coming into the workshop, gain and assign exploded drawings and repair sheets accordingly. • Gain and add photos of the repair item(s) as it is received and when it is completed to the job.




Liaise with production/warehouse staff regarding preparation of products prior to installation or delivery. • Preparation and dispatch to clients of Installation manuals, and Operating and Maintenance manuals.


Customer Service and Order Processing


• Communication with customers to schedule delivery dates, installation dates and any other correspondence relating to the order fulfilment. • Answer incoming calls and action when appropriate. • Raise reactive call out jobs and liaise with Operations Manager to action accordingly. • Jobs to be completed and dispatched on the EMIR system in relevant timescales. • Checking and sending, of Job sheets, service checklists, to the relevant contacts. • Reactive support for clients as and when required, including handling client complaints




• Check each job that relevant information and records have been completed correctly • and conveyed to the relevant people. • Notify project managers/sales team of any additional work carried out/required. • File and update databases and records with information for the jobs. • File delivery notes and paper documents onto the system. • Assist in the preparation of data for management reports
